In-person conferences are traditionally held in November, but can be moved if this coincides with religious festivals in the host country, for example. The event should be at least one full-day of conference with a track that is aimed towards marketers and one towards developers, and should have at least one day for contribution day.

- Centro Cultural de Belém
- Calouste Gulbenkian Foundation

Please share a rough idea of budget
It's important that all events are financially self-sustainable and ideally making a profit, which supports the Mautic project. Please share a rough idea of your budget based on your estimation of the costs and income this event could generate. This can be a first draft and should preferably be shared using a Google Sheet.
Costs:
- If a university or foundation can provide the event venue at no cost, our expenses would primarily cover food, plane tickets, hotels, and gifts, totaling an estimated €3,000 to €4,000.
- If we need to pay for the event venue, we are prepared to consider a budget of €10,000 to €13,000.
Revenue:
- Given that Mautic is relatively unknown in Portugal but has significant growth potential, we propose not to sell tickets and to make the event open to the public.
- Revenue would primarily come from sponsorships, donations, and potential sponsorship from Portuguese marketing startups interested in supporting our cause.

Why should the event be hosted in this location?
- Lisbon is a historic city with a rich heritage spanning thousands of years and is known for continually reinventing itself. It is also a hub for innovation and technology within Europe.
How many people could be accommodated?
- The event can accommodate up to 100 people.
What sponsors might be interested in coming on board from the local community?
- Potential sponsors include Portuguese marketing startups and other local businesses interested in supporting the Mautic project.
Any other relevant information:
- Lisbon is home to numerous startups and tech companies, hosts major events like Web Summit, and offers a wide range of hotels with modern facilities and numerous conference centers. The city has excellent international connectivity, a convenient time zone, efficient transportation, and a vibrant tech community. The mild and pleasant climate is ideal for exploring the city and participating in outdoor activities.
Estimated cost
The date and location will be announced on 11th July 2024 at Mautic Conference Global.
Recommended schedule going forward:
- Event design proposal submitted no later than 4 months before the first day of the conference
- Event budget finalized no later than 4 months before the first day of the conference
- Date and venue must be confirmed no later than 3 months before the first day of the event (contracts signed)
- Ticket sales must commence no later than 3 months before the first day of the conference
- Website and call for speakers need to be created and published no later than 3 months before the first day of the conference
- Schedule must be confirmed and published at least 6 weeks before the first day of the conference
Given the timelines and the close link between venue decision and budget, priority must be given to confirming the venue in the coming week.

If a university or foundation can provide the event venue at no cost, our expenses would primarily cover food, plane tickets, hotels, and gifts, totalling an estimated €3,000 to €4,000.
If we need to pay for the event venue, we are prepared to consider a budget of €10,000 to €13,000.
Estimate cost of $4,300 best case (university venue with no cost) and $14,000 worst-case scenario (not being at a University). All costs to be covered by sponsorship. Budget goal of $32,500 from sponsorship ($15k) and ticket sales ($12.5k) may be difficult to achieve with free tickets - to be discussed with the team.
