  • ACTION (Ruth): Ask if we can use Sunset and whether anyone would be using the Ampitheatre when we book, and how late into the evening would the booking be for the Sunset area?

  • ACTION (Ruth) : get the paid sessionize / zoho licenses (transfer funds over from the main Mautic budget, and reimburse when sponsorships come through)

  • ACTION: (Ima-Abesi): finalize Sessionize content ("Use the same Sessionize event, however make it really clear which tracks are in person, and which tracks are online.")

  • ACTION: (Ioana) Research to find a hotel that we could recommend as a block booking for team / attendees / speakers near the venue. ? (Premier Inn?)

Notes from this meeting

  • Margaret would like to help with sponsorships for the online event

  • Maryblessing - community manager and involved in lots of open source community. Would like to help with speaker coordination for the event

  • Jowho - product designer and illustrator, living in London. Would like to volunteer to help with the design and swag, and will be able to attend in London

In-person event

  • Sunset is booked but we have a minimum spend of £6k+VAT

  • Zoho backstage and Sessionize are paid

  • Action: Ruth to add Favour Chibueze as an admin

  • Action: Favour to be added as an admin on the website and connect with Simran on setting up the basic details for the website.

  • Sven - images added on the brand kit from London, shared some ideas for design work: https://www.canva.com/brand/kAGnh44QZUU - to collaborate with the folks who want to contribute to design (Jo, Sven) ACTION: Create some template images for social media, banner etc.

  • ACTION: Publish sessionize call for speakers (Ima-Abasi)

  • Premier Inn has rooms for ~£150/night which when shared between two is reasonable.

  • Ruth to set up a call with Margareth to talk through sponsorships - If Ekke has found anyone to do sponsorship from the Council.

Online event

  • Favour will take the lead on getting familiar with Zoho Backstage.

  • Timezones will be important to cater for the global audience

  • Favour suggested 2-9pm would work for most places

  • Margaret asked maybe we should plan out the two days of the online conference rather than wait for sessions to come in and then schedule

  • We usually have 30 minute sessions with 15 minute Q&A and 15 minute handover time, or 5 minute pre-recorded lightning talks.
