Notes from this meeting
- Zoho Backstage trial set up
- Pricing wise it seems like a good option - we'd still need to use Sessionize but it looks like you can import sessions.
- Feature wise it seems the most polished. Some major shortcomings with Venueless are addressed (e.g. lack of ability to play pre-recorded uploaded videos)
- Total cost: ~$900 including Sessionize, assuming 15 organizers, 1000 attendees, 50 sponsors and 5 booths (~$50 per booth over this)
- Venueless, Pretalx and Pretix trials set up
- Venueless seems to have quite a lot of shortcomings that I feel would make it a backwards step in terms of user experience
- Main plenary would need to use Streamyard
- No way to show pre-recorded sessions other than using a YouTube link - we had huge problems with this when we used previous platforms with such limitations (buffering, videos not loading) and they do not show up in the video recording of the session - I feel this would be a real issue.
- No way to pre-roll a video (e.g. countdown timer)
- Feels very DIY - like being in a zoom call
- No real way of having networking and user interaction
- Total cost: $875+ $240 per 100 users above the first 100 (we're expecting 200-300 users so this would make it an extra $480) plus Pretalx at $292 (25% discount applied)
- At this time, Zoho Backstage seems like the most likely tooling to help us with achieving our goals for this event - could also be used for hybrid events.
- Mohit and Rahul have archived the event and Ruth will upload to the event archive.
