Discussion on timeline for CfS:
Timeline
– Session proposals open 23 August 2 September 2024
– Session proposals close 13 20th September 2024 11:59 pm
– Session notifications 27th September 2024
– Session reconfirmation deadline 4th October 2024
– Sessions announced 7th October 2024
Suggestion to shorten the proposal -> notifications period to keep things on track as we're a week behind currently. Discussions on whether to shorten it with an option to extend, or to hold it open for three weeks and make a really big effort to promote. Discussion on when to close, agreed to close on Friday 20th September.
Changing layout for Awards: 250 EUR
Video team for the Awards: 300 EUR
We think it might be too expensive to do this, why not do the awards on day 1. when all the kit is already in situ?
- Action: Ricardo will advise venue (and apologise for all the changes, sorry!)
Sponsoring
- No response from Portuguese companies just yet but the team are following up
- Lenon and Ricardo are meeting with Code Five today and hope they will come on board as a sponsor.
- Ruth has started outreach
- Dropsolid will be Gold + want to make up another 2.5k (maybe cost of printing tshirts?) - Ruth to action this
- Ricardo will double check with the venue the space available for the sponsor booths
- ACTION: Ricardo will send email to venue manager to make sure that the corridor can be used to place table for our sponsers to have their kiosk
- ACTION: Ricardo will check custom t-shirt prices
Team
- ACTION: Lenon to onboard three volunteers who want to get involved (marketing, community sprint and local support)

- Are we covering accommodation and travel? We should ask the question as to whether they will cover their accommodation/travel, and if not then how much they require

Catering - need to chat about this soon, but it's not urgent.

- Ruth to clone Sessionize event and get it ready to accept speakers
- Ricardo to let venue know we'll do awards on the first day (Ruth to let awards team know)
- Ricardo to check with the venue about spacing for sponsor booths in the networking area
- Ricardo will get some quotes for tshirt prices
